A nursing home room in the morning light

Your whole nursing home, in one management system.

Records, medication, rotas, families, fees, tax and accounting. What is recorded at the resident's bedside reaches management, the office and families on its own.

Nursing home solution

From the resident's bedside to the balance sheet. Nothing copied twice.

Today the same information lives in five places: the notebook at the nurses' station, the rota spreadsheet, the fees software, the doctor's records, the emails to the accountant. Nixsa Care replaces them with a single database, designed around how a nursing home (RSA) really works.

Care notes and handover

Handover notes, written by speaking.

The carer dictates, the system transcribes and sorts: vital signs, bowels, sleep, mood. Read it back, confirm, and it is in everyone's care notes.

Medication

The medication round, at the resident's bedside.

The doctor prescribes, the nurse scans the wristband and confirms each drug. Refusals, suspensions and as-needed drugs stay on record with the reason, and the drug cabinet stock is updated on its own.

  • Resident identification before every administration
  • Electronic signature with date and time
  • Controlled drugs with a stock register

Records, care plan and assessments

Every resident, truly known.

Medical, nursing, rehabilitation and activities records in a single file. Scales are filled in with a few taps and, if the risk changes, the individual care plan (PAI) is flagged to the team.

Nights, sensors and nurse call

Nights without wasted rounds.

If the facility has bed sensors, fall detectors or a nurse call system, the alarm reaches the phone of the nearest carer with name and room, and is closed with a note in the care notes.

Kitchen and services

Diets and allergies reach the kitchen on their own.

Each resident's textures, diets and allergies become the meal plan. Stores, cleaning and maintenance follow the same rules: no word of mouth.

Rotas and staff

Rotas that meet the standard. On their own.

The rota calculates care minutes per resident in real time and compares them with your Region's standard. If someone falls ill, the system suggests who can cover.

Management

The whole facility, on one screen.

Occupancy, waiting lists, quality indicators, receivables, costs per unit. Figures always up to date, because they come from everyday work.

Administration, tax and accounting

From ward attendance to the invoice. Automatically.

Healthcare shares paid by the local health authority (ASL), social shares split between resident and municipality, reductions for absences, stamp duty on exempt invoices, expenses sent to Sistema TS, the Italian health card system for tax-deductible medical expenses. Rules a generic management system does not know, and Nixsa Care applies on its own.

  • Fees from attendance

Attendance, hospital stays and home leave come from the ward: the fee is calculated with the reductions in your own regulations.

  • Several payers per resident

ASL, resident, family member, municipality, legal guardian (amministratore di sostegno): one invoice each, for the right share.

  • SdI e-invoicing

Invoices and credit notes to private individuals and public bodies through SdI, Italy's e-invoicing exchange system, with office code and tender code (CIG), and the status of every submission.

  • VAT, exemptions and stamp duty

The VAT regime for your type of organisation, virtual stamp duty on exempt invoices above the threshold, separate invoice registers.

  • Sistema Tessera Sanitaria

Submission of medical expenses with handling of patient opt-outs, and the annual statement for tax deductions.

  • SEPA collections and reminders

SEPA direct debits (SDD), bank transfer reconciliation, security deposits, graduated reminders for each payer.

  • Automatic journal entries

Every invoice and every payment generates its entries in the cash and journal book (prima nota). Purchase ledger with invoices received through SdI.

  • Cost centres and budget

Revenue and costs per unit, real cost of a bed day, export for the accountant.

Family app

Families are kept informed. The phone at the nurses' station rings less.

Authorised family members receive a summary of the day written for them, book visits and video calls, sign documents and download invoices.

  • The day, in plain wordsA summary for families, not the clinical notes: diagnoses and treatments stay with the care team.
  • Visits and video callsBooked in the app, they go straight into the reception diary.
  • Invoices and tax deductionsEvery invoice and the annual statement, always to hand.

Regulations and security

Health data, handled with the rigour it demands.

Every healthcare facility holds health data, financial data and signed documents. The platform is built around these obligations, not with add-ons bolted on later.

  • GDPR and health data

Permissions by role and by ward, a log of every access, encryption, servers in the European Union.

  • Electronic signature

Administrations, reports, letters and care notes signed by whoever writes them; consents and quotes signed on a tablet or phone.

  • Documents with a certified date

Records, reports, invoices and contracts archived with their versions, ready for legally compliant digital preservation.

  • Data flows to the ASL and the Region

SDO, FAR, SIAD and the other mandatory reporting to the local health authority (ASL) and the regional health service, taken from ward data and checked for errors before submission.

  • FSE and Sistema TS

Discharge letters and reports sent to the Electronic Health Record (FSE); healthcare expenses sent to Sistema TS, the Italian health card system for tax-deductible medical expenses.

  • Clinical risk

Adverse events, falls, surgical safety checklists and restraints tracked, as required by Law 24/2017 (Gelli-Bianco) on patient safety.

Getting started

Up and running in a few weeks. Without stopping the facility.

You start with one unit or one area and extend when the staff are ready. The tedious part (configuration and data migration) is on us.

  1. Week 1AnalysisWe visit the facility and collect the forms, rates and workflows in use.
  2. Week 2ConfigurationUnits, places, roles, scales, rates, invoicing rules, chart of accounts.
  3. Weeks 2–3MigrationWe import residents, current medication, staff and master data.
  4. Week 3TrainingOn the ward, by role and by shift, nights included.
  5. From week 4Assisted go-liveOne month working alongside you, then ongoing support.

Frequently asked questions

What we are asked most often.

Write to us
Do we have to change everything at once?

No. You can start with one area, for example fees and invoicing or records and medication, and add the rest later. If you keep some programs for now, Nixsa Care exchanges data with them.

Does it work with our Region's rules?

Rates, frailty classes, care-minute standards, scales and data flow formats are configured by Region and by facility, and we review them together during the initial analysis.

Will our staff manage to use it?

The ward screens are designed for tablets and for people in a hurry: large buttons, few words, multiple entries in one tap, voice dictation. Training takes place on the ward, shift by shift.

What if the internet goes down?

Ward workstations keep showing the shift's medication and handover notes and keep recording administrations: the data syncs on its own when the connection returns.

Our accountant already uses their own software.

No problem: journal entries, issued and received invoices are exported in the exchange formats of the main accounting packages. If you prefer, you can keep your accounts directly in Nixsa Care.

Where is the data and who owns it?

The data remains yours, on servers in the European Union, with daily backups. You can export all of it at any time.

How much does it cost?

A fee per bed, depending on the areas activated, plus a one-off set-up. We send you a precise proposal after an initial half-hour call.

Other examples of use

The same software, configured for other facilities.

Patient and resident records, invoicing, Sistema TS, accounting, staff and security are shared. On top of them you switch on the modules for your line of work: for groups running different kinds of facility, it is a single system.
